SHRM’s 2025 Talent Trends research (Voice of Work panel, February 3 to 12, 2025, n=2,040 HR professionals) found 41% of organizations with recruiting difficulty report candidates ghosting during the interview process. That is how many orgs see the problem. It is not “41% of interviews are missed.”
Greenhouse’s 2023 Candidate Interview Experience report (n=1,200 US candidates) found 36% of candidates had ghosted employers, often citing a company different than expected or a poor interview. Seventy percent said lack of communication is the biggest hiring red flag. Greenhouse’s 2024 State of Job Hunting survey (n=2,500 workers in the US, UK, and Germany) found 61% of job seekers say an employer ghosted them after a job interview.
Candidates juggle many processes. Silence feels like disrespect. A thin invite that skips timezone, link, or reschedule options makes skipping easier than asking for help.
What should an interview invitation email include?
Every interview invitation email should make attendance obvious on a phone. If they have to dig, you already lost some of them.

How soon should you send the invite?
Send it as soon as you decide to interview. Ideally the same business day.
After a phone screen, send the next round invite the same day while the conversation is still warm. Once a time is agreed, send confirmation and the .ics or calendar invite immediately, not later that evening.
I do not cite the vendor claim that inviting within 24 hours of application makes someone 2.5× more likely to accept. I could not find a matching SHRM primary for that figure. What I will stand on is simpler. Candidates treat silence as a red flag. Interest cools. Competing processes move. Speed plus completeness beats a prettier template library.
Practical sequence I use:
- Decision to interview: invite or self scheduling options same day
- Time agreed: confirmation + calendar invite right away
- About 24 hours before: short reminder with time, timezone, link or address, and reschedule path
- Optional same day or about 2 hours before: one short nudge with the join details
- If they never reply to the invite: one follow up in 2 to 3 business days, then move on
For reminders, treat healthcare evidence as analogy only. A Cochrane review of SMS reminders for clinic appointments (Gurol-Urganci et al., update published 5 December 2013) found attendance rose from about 67.8% to about 78.6% with SMS versus no reminder (relative risk about 1.14). Subject lines should name the company, the word interview, and the time when you already have one. Skip vague “quick chat?” lines and salesy openers. I will not invent open rate lifts you cannot verify.
How do you put this on a calendar without drama?
The invite body is only half the job. The meeting has to land on a calendar.
