Syncing recruitment email with your applicant tracking system (ATS) means one work mailbox stays tied to the candidate record. Connect Google or Microsoft under Settings → Integrations on employer tier 2 or higher. Mail you send from Canvider goes out from your address and shows in Sent. Replies land on the application Emails tab. New applications still come through careers and board apply URLs that point at Canvider, plus PostJobFree via People → Refresh Applicants. That is the loop. Email is how you talk. The ATS is where the hiring record lives.
The way I think about it: your mailbox is communication. It is not a second ATS.
Why does hiring from a shared inbox fail?
Because a personal or shared inbox was built for messages, not for a pipeline. I’ve watched small teams run jobs@ as the apply form, forward CVs into Slack, and lose the thread when someone is out sick. The candidate still thinks they applied. Your hiring manager still asks “did we reply?”
Three failure modes show up again and again.
The first is visibility. If the conversation lives in one person’s Sent folder, the rest of the team cannot see the last answer without asking. Stages, notes, and scores sit somewhere else, or nowhere.
The second is durability. US employers covered by EEOC rules generally keep personnel and employment records, including application forms, for one year from the record or the related action. UK GDPR storage limitation guidance from the ICO says you should not keep unsuccessful applicants’ recruitment records longer than the claim period without a clear business reason, and you should be able to justify what you keep. The third is volume. Scoutify’s 2026 look at more than 24,000 matured applications found that about half never drew a human reply. That is a candidate-side measurement of silence, not a lab study of “lost Gmail attachments.” Still, it matches what I see on the employer side when apply and reply live in different places: people wait, then they leave.

What does recruitment email sync actually mean?
Vendors blur three different jobs under one phrase.
Mailbox sync is two-way capture of recruiter and candidate mail on the right profile: what you send, what they reply, on the application timeline.
Application intake is how a new person enters the pipeline: careers form, job board apply URL, widget, manual add, or a named channel like PostJobFree.
Templates and bulk send are how you write and deliver at scale. Those can work even when the mailbox is not connected.
Recruitment email sync, done honestly, is mostly the first job. It is not “every CV that hits jobs@ becomes a scored applicant.” Industry help docs describe the same pattern. JobScore’s two-way sync help, for example, only attaches messages that match email addresses already on candidate records, and only after the user opts in. That is communication on a record, not a second careers page.

How do you connect your work mailbox to Canvider?
Go to Settings → Integrations and connect Google or Microsoft through Unipile OAuth. Pick one mail and calendar provider per employer. You sign in with Google or Microsoft. Canvider never handles that password.
This needs employer tier 2 or higher. Public plans today: Simple Free, Pro from €80, Enterprise from €200. Free does not include Gmail or Outlook sync.
Once connected you get:

- Two-way email sync: mail sent from Canvider via the connected mailbox appears in Sent; candidate replies are ingested onto the application through Unipile webhooks and mailbox sync
Without the integration you can still send. Messages go from notifications@canvider.com. That is one-way. There is no mailbox sync, so replies will not land on the Emails tab the same way.
Day-to-day on a connected account:
- Open the candidate → Emails tab.
- Use Template, Custom, or AI Draft.
- Send from the connected mailbox.
- Watch History for Incoming. Wait for the webhook, or refresh if you are impatient.
Read state on ingested mail is company-wide, so the team sees what was opened in Canvider.
For the actual words you send, keep interview invitation emails clear on timezone, link, and reschedule, and send rejection emails after interview the day you decide. Sync does not fix a thin invite or a late no.
How do applications get into the ATS if email is not the apply form?
Through the apply URL, not through hoping someone forwards a PDF.
Primary path: your Canvider careers page and forms, plus job board apply URLs that point at Canvider. Careers, the embed widget, Workloupe, bulk upload, and manual adds already arrive in-app. Refresh Applicants does not re-import those.
Named email-to-application channel: PostJobFree. After you publish that way, run People → Refresh Applicants on a cadence. Canvider parses the PostJobFree email (PDF plus OCR, cover letters when present). Source shows as PostJobFree. LinkedIn applicants also come through the same Refresh action when the job was published through the LinkedIn integration. That is not Gmail sync.

That table is the honest product. I would rather you plan around it in week one than discover a missing shared inbox in week three.
Custom email templates and Bulk Communication on the job still work without Unipile. You lose personal send and two-way capture, not the ability to message people in the pipeline.
What about retention when candidate mail finally sits in one place?
Putting mail on the application helps you answer “what did we say?” It also makes retention real instead of accidental.
The ICO’s storage limitation guidance is plain: keep personal data only as long as you need it for your purpose, document standard periods, and review. Its recruitment example tells employers not to keep unsuccessful applicants’ records past the statutory claim window without a clear business reason. In France, the CNIL published an HR retention référentiel on 2 April 2026 covering recruitment among other activities. Soft law, useful as a checklist, not a free pass.
None of that requires a product feature named “auto-delete in 180 days” to be true. It does require that the hiring record, including the emails that matter, lives somewhere you can find and later delete on purpose. A synced Emails tab beats three personal inboxes for that.

- Use templates and bulk from the job when you need volume. Keep invites and rejections short and on time.
